Make a bot from a description
1
Open New bot
Open Bots in the sidebar and click New bot at the top of the bots list. The page New bot opens.
2
Describe the job
In the box, write what the bot should do for you, for example “Every Monday, read the new invoices and tell me what is late.” Use 10 to 2,000 characters. To start from an idea, click one of the Examples: Email helper, Vendor invoice tracker or Weekly research brief.
3
Create the bot
Click Create bot, or press Cmd+Enter (Mac) or Ctrl+Enter (Windows). RelayHub writes a name and a description for the bot and opens its chat. The new bot is active at once.
Make a bot from a template or an agent
The New bot page also lists ready starting points:- Company templates: bots that an admin of your company shared as a template. Click Create on a row.
- Start from an agent: your active agents from Agents. Click Create to make a bot with the instructions of that agent.
How a new bot starts
A new bot is active as soon as you click Create bot. There is no setup step and no Activate button. The bot writes first in its chat:- When your description gives it a job that it can start now, for example “Sort my inbox every morning”, it writes one short line that names what it starts on, for example “I am starting on your inbox: I will sort the newest 50 messages first.” Then it makes its settings and starts the work at once. You get the result, or the next approval it needs, as soon as it has it.
- When your description says only what kind of help you want, for example “A general assistant”, the bot says hello and asks one question at a time: what you want help with first, then how it should work and sound, then where your things are, such as your email, files or calendar. Answer in your own words below the chat. It never asks what you already told it.
- When you give it something real to do, it stops the questions and does the work.
- Most settings apply at once, for example the time zone or a routine that your description asks for. The chat shows a short line for each one, for example “Nia set its time zone to America/Chicago. You can change it in Settings.”
- The bot checks each setting against your words before it applies it, so it can correct a setting first. In some companies RelayHub cannot check the settings against your words, for example because of the data protection settings of the company. There, the routine, the description, the rules and the notification settings come as Proposed setting cards instead of short lines.
- A connection, a name and a rule that lets the bot act without asking wait for you on a Proposed setting card. The bot does not wait for the card: it starts the work it can do. The card shows the current value, the proposed value and the reason. Click Accept, Edit or Reject. Edit opens the same controls as the settings window. Save and accept applies your value.
- The bot offers a connection only when the work needs one that is not connected yet. The card shows a button with the name of the account, for example “Connect Gmail”. Click it and sign in. The card accepts the setting after you connect the account.
A bot proposes a new bot
A bot can propose a new bot to you, for example when you ask it “Make me a separate bot that checks my Stripe payouts.” The bot cannot create a bot itself. It shows a New bot card in its chat and in Needs you.- The card shows the Name, the Role, the Instructions, the AI model and the Group of the new bot, and the reason of the bot.
- Click Accept to create the bot. The card shows “Creating the bot.” for a few seconds. Then it shows a link to the new bot.
- Click Edit to change the name, the role, the instructions, the model or the group, then click Save and accept.
- Click Reject to create nothing. The bot does not propose the same bot again.
Copy or share a bot
Open the bot menu (the … button at the top of the bot page):- Duplicate makes a new bot named “(name) (copy)” with the same setup. A copy of an active bot is active at once and keeps the look. Its routines start paused, so turn on each routine that you want the copy to run. When the copy cannot be made, a window says why; click Try again.
- Share as a template for my team (admins only) shares the bot with your company as a template. Enter a Template name and click Share. People in your company can then create a bot from it on the New bot page.
